Introduction

This Privacy Policy describes how PayLog (“we,” “us,” or “our”) handles information when you use the PayLog mobile application (“PayLog” or the “App”).

PayLog is a personal finance and cashbook app. Depending on how you use the App, you may create personal or business accounts, record income and expenses, set budgets, view insights and reports, attach receipts or invoices, and use optional premium features such as the AI Receipt Scanner and multiple accounts.

By using PayLog, you agree to the practices described in this policy. If you do not agree, please do not use the App.

Information We Collect

The information PayLog processes depends on how you use the App. Core cashbook features work offline and store data on your device. Network requests to our servers occur only for PayLog Pro features such as subscription verification, authentication, and AI receipt scanning.

Financial and account information (stored locally on your device)

Depending on how you use PayLog, the App stores this information in a local database on your device:

  • Account names, types (personal or business), currencies, and balances
  • Transaction titles, amounts, dates, categories, notes, and tax amounts
  • Budgets and budget periods
  • Transfers between accounts
  • Receipt or invoice images you attach to transactions (saved in the App’s private storage)
  • Extracted receipt data such as merchant name, invoice number, line items, subtotal, tax/GST, total, payment method, and AI confidence scores, when you save a scan
  • Business account details you choose to enter, such as business number, address, email, and telephone
  • Insights and reports calculated from your on-device records

This financial data is not uploaded to a PayLog cloud account and is not synced across devices by PayLog.

App settings and identifiers (stored locally on your device)

The App also uses on-device storage for:

  • App lock and biometric unlock preferences
  • Display preferences such as balance visibility
  • A randomly generated app identifier created on first use of Pro online features
  • Cached PayLog Pro subscription status
  • Cached session data returned from our servers, including a short-lived access token and scan quota details

Information sent from your device to our servers (PayLog Pro only)

If you have an active PayLog Pro subscription and use online features, the App may send:

  • Your app identifier
  • Apple App Store purchase information needed to verify an active subscription
  • Receipt or invoice images you choose to scan (resized on your device before upload)
  • An access token issued by our servers with subsequent scan and usage requests

Free-plan use of PayLog does not send cashbook data to our servers. We do not require a separate PayLog username, password, or email login.

Information stored on our servers (PayLog Pro only)

When you use PayLog Pro online features, our servers store limited records, including:

  • A link between your app identifier and your subscription
  • Your monthly AI receipt scan count for quota enforcement
  • Timestamps associated with those records

Our servers do not store your transaction history, budgets, account balances, or saved receipt attachments. Receipt images submitted for scanning are processed to return extraction results and are not kept as permanent files on our servers.

Information we do not intentionally collect

  • We do not require your personal name, email address, or phone number to use PayLog (optional business contact fields you enter stay on your device)
  • We do not operate third-party advertising or cross-app tracking in PayLog
  • Biometric data used for app lock (such as Face ID or Touch ID) is handled by your device operating system and is not sent to us

How We Use Information

Depending on how you use the App, we use information to:

  • Provide core cashbook features such as tracking income, expenses, categories, budgets, and on-device insights
  • Store and display your transactions, attachments, and account data locally on your device
  • Verify PayLog Pro subscriptions with Apple and authenticate Pro requests
  • Store subscription linkage and monthly AI scan counts on our servers for Pro users
  • Process receipt images through our servers and OpenAI, then return extracted transaction details for your review
  • Protect the App with optional biometric app lock handled on your device
  • Maintain, secure, troubleshoot, and improve PayLog and our online services
  • Comply with legal obligations where applicable

Receipt Scanner and AI Processing

PayLog Pro includes an AI Receipt Scanner that lets you capture or upload a receipt or invoice image. This feature requires an active subscription, a network connection, and available monthly scan quota. When you choose to scan a receipt:

  • The App resizes the image on your device and sends it to our servers over a secure connection
  • Our servers verify your subscription and scan quota, then forward the image to OpenAI for AI extraction
  • OpenAI returns structured fields such as merchant name, date, currency, subtotal, tax/GST, total, suggested category, payment method, notes, and line items
  • Our servers return that extraction result to the App so you can review it before saving

Receipt images are transmitted to PayLog’s servers and to OpenAI for this feature. PayLog does not keep scanned images as permanent files on our servers after processing. OpenAI may process and retain submitted content under its own privacy policy and terms.

If you save the scan, the receipt image and extracted data are stored locally on your device as part of your transaction record unless you delete them. Manual receipt attachments without AI scanning stay on your device only.

AI extraction may not be perfectly accurate. You should review extracted amounts, dates, and categories before saving a transaction.

Local Storage and Cloud Processing

Local storage on your device

PayLog stores your cashbook data locally on your device in a private app database. Receipt and invoice attachments are saved in the App’s private storage. App settings, your app identifier, subscription cache, and session data are also stored on your device.

PayLog does not sync your accounts, transactions, budgets, or attachments to a PayLog cloud account. Device backups created by iOS or Android may include App data according to your platform settings, but that is outside PayLog’s direct control. If you uninstall the App or lose your device without a backup, locally stored data may be lost.

Cloud storage and processing (PayLog Pro only)

If you use PayLog Pro online features, limited data is stored and processed on our secure cloud servers, including:

  • Subscription verification and authentication
  • App identifier to subscription linkage
  • Monthly AI receipt scan counts
  • Temporary processing of receipt images for AI extraction

Our online services are hosted using trusted cloud infrastructure providers. Receipt images are processed for scanning and are not stored by PayLog as permanent files after the request completes.

In-App Purchases and Subscriptions

PayLog offers an optional PayLog Pro subscription to unlock premium features such as multiple accounts, business tools per account, and the AI Receipt Scanner.

On iOS, purchases and renewals are handled by Apple through the App Store. The App sends subscription information to our servers so we can verify your PayLog Pro entitlement. Payment details are handled by Apple, not by PayLog.

In the current App version, subscriptions are available on iOS only. The Android app does not process Google Play subscriptions yet; Pro and AI scanning features that require online authentication are unavailable on Android until supported.

You can manage or cancel subscriptions through your Apple ID account settings. Refund requests are handled according to Apple’s policies.

Third-Party Services

Depending on how you use PayLog, information may be processed by the following third-party services:

  • Apple App Store — subscription purchase, restore, and verification on iOS
  • Cloud infrastructure providers — hosting and operating our online services
  • OpenAI — AI processing of receipt and invoice images submitted through the Receipt Scanner
  • Apple / Google device services — camera, photo library, file storage, share sheet, and biometric authentication provided by your device operating system

These providers process information according to their own privacy policies and terms. We encourage you to review:

PayLog does not integrate third-party analytics, crash reporting, or advertising SDKs in the current App version. If that changes, we will update this policy.

Data Sharing

We do not sell your personal information.

Depending on how you use the App, we may share limited information only in these situations:

  • OpenAI — receipt and invoice images you submit for AI scanning are forwarded by our servers to OpenAI for extraction
  • Cloud service providers — to host our online services and store limited Pro subscription and usage records
  • Apple — for subscription purchase and verification through the App Store
  • Legal requirements — if required by law, regulation, legal process, or to protect rights, safety, and security
  • Business transfers — in connection with a merger, acquisition, or sale of assets, subject to appropriate safeguards

Your cashbook records, budgets, and saved attachments are not uploaded to PayLog’s servers. They remain on your device unless you choose AI receipt scanning (which shares the image with our servers and OpenAI) or use built-in export/share features (such as sharing a business CSV through your device’s share sheet), which share data with apps or recipients you select.

Data Security

We use reasonable technical and organizational measures designed to protect information processed by PayLog and our online services, including encrypted connections for data in transit and access controls on our servers.

You may also enable optional app lock with Face ID, Touch ID, or equivalent device biometrics to help prevent unauthorized access on your device.

No method of transmission or storage is completely secure. You are responsible for keeping your device secure and reviewing extracted receipt data before saving transactions.

Data Retention

  • On your device — financial records, budgets, attachments, and settings are kept until you edit or delete them, or until you uninstall the App
  • Receipt scan images sent online — processed by our servers and forwarded to OpenAI; PayLog does not keep them as permanent files after the scan request completes
  • Server records (PayLog Pro) — subscription linkage and monthly scan counts are retained while needed to provide Pro features and enforce quotas; they are not automatically deleted when you uninstall the App
  • Session data — short-lived access tokens are cached locally on your device and refreshed when you use Pro online features
  • OpenAI — retention of images and inputs is governed by OpenAI’s policies, not PayLog’s

Children’s Privacy

PayLog is not directed to children under 13 (or the minimum age required in your country), and we do not knowingly collect personal information from children. If you believe a child has provided information to us, please contact us and we will take appropriate steps to delete it.

International Users

PayLog is operated by PayLog. If you use online features, your information may be processed in Australia and in other countries where our service providers operate, such as the United States (OpenAI).

By using features that involve cloud processing, you understand that information may be transferred to and processed in countries that may have different data protection laws than your own.

Your Choices and Rights

Depending on your location and how you use PayLog, you may have choices such as:

  • Choosing whether to use optional features like AI receipt scanning, attachments, or PayLog Pro
  • Editing or deleting accounts, transactions, budgets, and attachments within the App
  • Enabling or disabling app lock and biometric unlock in Settings
  • Managing or cancelling subscriptions through your Apple ID settings
  • Exporting business transactions to CSV and sharing that file through your device’s share sheet (you choose the recipient or app)
  • Uninstalling the App to remove locally stored data from your device
  • Contacting us to request deletion of server records linked to your app identifier or subscription, where applicable

Because most financial data is stored locally on your device, deleting data within the App or uninstalling the App is often the most direct way to remove it.

Changes to This Privacy Policy

We may update this Privacy Policy from time to time. When we do, we will revise the “Effective Date” at the top of this page. If changes are material, we may provide additional notice within the App or by other appropriate means.

Your continued use of PayLog after an updated policy becomes effective means you accept the revised policy.
